Must be able to work a varied schedule to include daytime and evening hours as well as weekends to include rotating Sundays.

**This is a part-time position and is ineligible for benefits.


JOB SUMMARY

Under direct supervision of the recreation supervisor , the Recreation Specialist provides outstanding customer service and administrative duties for the Recreation Division. This includes memberships, account administration, invoices, and enforcing policies and procedures, and maintaining a clean, safe environment at recreation facilities. The Recreation Specialist must communicate effectively, professionally, and courteously in person, in writing, and over the telephone to respond to customer inquiries appropriately.

ESSENTIAL JOB FUNCTIONS

  1. Performs administrative functions by planning, organizing, and providing support for the Recreation Division including Member Services, Fitness, Athletics, and/or the Senior Center.
  2. Provides outstanding customer service to customers and vendors, and enforces facility rules, policies, and procedures to ensure the efficient operation of the assigned areas.
  3. Registers participants in classes and special events, sells and processes member registrations, checks-in members, books facility rentals, and maintains accurate records including membership/participant data in recreation management software.
  4. Reviews member accounts and assists with the sales, retention programs, payment processing, and payment rejections for membership services.
  5. Corresponds with membership customers to perform related administrative activities including processing membership changes, maintaining an accurate customer database, facility and field rentals, and collecting payments.
  6. Provides information and promotes facilities, programs, and services when in contact with members and guests.
  7. Monitors recreation activities and rentals for participant compliance with health and safety rules.
  8. Assists with programming, rentals, special events, and sponsored Town of Little Elm activities, including set up and cleanup.
  9. Assists Recreation Leader staff as needed, including staff training, and serving as Manager on Duty as assigned.
  10. Ensures assigned areas are cleaned and maintained at all times. Performs daily inspections of assigned work area and technology systems. Creates work orders and notifies supervisory team as needed.
  11. Ensures assigned areas are well-supplied at all times, including inventorying and purchasing supplies. Orders and maintains office, membership, rental, and recreation supplies for the Recreation Division.
  12. Assist with day and extended trips, coordinating seminars, educational programs and themed activities at the Senior Center.
  13. Assists with invoice processing, purchase orders, and other financial duties.
  14. Responsible for taking and processing financial transactions. This includes handling cash, as well as reconciling receipts and cash register.
  15. Uses discretion and independent judgment regarding procurement and purchasing decisions in compliance with Town policies.
  16. Receives, responds to, and resolves difficult and sensitive customer inquiries and complaints.
  17. Types and proofreads a variety of reports, letters, memos, statistical charts, and general correspondence.
  18. Prepares forms, charts, statements, and various legal documents as required.
  19. Manager on-duty as assigned.
  20. Works varied shifts including mornings, days, nights, weekends, holidays, and works special events as needed.
  21. Performs other duties as assigned.

EDUCATION/TRAINING/EXPERIENCE

  1. High school diploma or GED is required. 
  2. Two (2) years related recreation and/or customer service experience required, or combination of education/experience.  
  3. Must pass a pre-employment drug screen and criminal background check.

 

LICENSES OR CERTIFICATES

  1. Must be bondable.
  2. Valid Texas Driver’s License.

 

LANGUAGE SKILLS

  1. Knowledge of customer service practices and procedures.
  2. Knowledge of money handling practices and procedures.
  3. Ability to read, write, and speak English fluently.
  4. Ability to respond to common inquiries or complaints from customers, regulatory agencies or authorities, or general public.
  5. Ability to interpret a variety of instructions furnished by management in written, oral, or schedule form.
  6. Ability to motivate self to maintain and improve performance.

  8. Mathematical skills are required to make change for monetary exchanges.
  9. Use tact and diplomacy with public, and maintain effective working relationships with co-workers.
  10. Data entry and file set-up.

  1. Ability to interpret a variety of instructions furnished by management in written, oral, diagram, or schedule form.
  2. Experience in prioritizing, planning, and scheduling, works independently in the absence of specific instructions or supervision.
  3. Ability to comprehend policies, procedures, regulations, organizational structures etc. in a short time frame.


PHYSICAL DEMANDS

The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to operate various machines and/or equipment; and reach with hands and arms.  The employee frequently is required to talk and hear.  The employee is occasionally required to stoop, kneel, crouch, or crawl.  The employee must occasionally lift and/or move up to fifty (50) pounds and be able to push and pull up to seventy-five (75) pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
